1. Create a new email template
Log into Altitude Cloud and navigate to Marketing > Templates.
Select New Template, then enter a name and description for your template.
Select the level you would like the template to apply to. This can be at the account level or for a specific property.
You'll then have the option to select Automatic or One-off.
Automatic: Used for emails that are automatically sent to guests at different stages of their stay, such as pre-arrival, online check-in or check-in emails.
One-off: Used for emails that you want to send as one-offs, such as marketing communications. One-off emails are covered in a separate support article.
For an automated guest email, select Automatic.
2. Build your email
Enter the email subject, then use the drag-and-drop email builder to create the body of your email.
You can add and arrange different content blocks and assets to build your email, including text, images and buttons.
You can also use merge tags to personalise your emails with information from the guest's reservation. These fields will automatically populate with the relevant information when the email is sent.
3. Preview your email
As you're building your email, make sure you check how it will appear on both desktop and mobile devices.
Scroll down to the device preview options and switch between the desktop and mobile views.
Important: We recommend always checking the mobile preview before publishing. This allows you to check that your content and formatting display correctly on a smaller screen.
4. Save and publish your template
Select Save to save the changes you've made to your template.
When you've finished building and reviewing your email, select Publish to make the template available for use.
Before publishing, check your content carefully for any spelling errors, incorrect links or formatting issues.
5. Create an automated campaign
Once your email template has been published, navigate to Marketing > Campaigns and select New Campaign.
You'll again have the option to select Automatic or One-off.
For an automated guest email, such as a pre-arrival email, select Automatic.
6. Set up your campaign rules
Work through the campaign builder to select your email template and configure the rules for your campaign.
These rules determine when the email will automatically be sent to guests. For example, you may want to send a pre-arrival email at a specific time before the guest's arrival.
Once your campaign has been configured, review the settings carefully before making it live.
