Create new tasks, as well as update status and resolve maintenance tasks.

Creating Maintenance Tasks

In order to create a maintenance task, click the "New Item" button which will bring up the following "New Task" window.

Type - The type of maintenance that needs to be completed in the task.
Location Type - This is where the task is ought to be completed.
Location - Specific details of the location, such as room number.
Title - The name of the task.
Detail - Specific details of the task which needs to be completed.
Assigned To - Selection for who the task is assigned to.
Priority - The priority of the task, how urgent it is.

At the bottom of the "New Task" window is the button to choose whether the task is for an external contractor. If so, the name of the contractor and phone number are filled in the corresponding boxes.

To change the location type, priority of the task or maintenance type, click the arrow button, this will bring up a drop down menu allowing you to select the correct option.

To select the people that the task is assigned to, type the name of the person within the highlighted box and select the correct user.

To finish the creation of the maintenance task, click the "Create" button. However, if you want to get out of the creation window click the "Cancel" button.

Processing Maintenance Tasks

To remove the maintenance task, click the three dots and press the "Remove" button in the drop down menu. In order to edit a maintenance task, click the view button corresponding to that task. This will bring up the "Detail" window again.

In order to edit the history of the task click the "History" text or to add photos of the task, click the "Photos" text.

After click the "Photos" text it will bring up the following window.

To upload an image, either click or drag an image into the Images area or click the area and upload the image.

Changing the History of a Task

After click the "History" text it will bring up the following window. Showing the history of the maintenance task.

In order to leave a comment in the history of the task. Type the comment within the comment box and if the status of the task has changed, click the drop down menu where you can select the status of the task. If the resolution of the task has changed, click the drop down menu where you can select the resolution of the task. Afterwards click the "Post" button to add the comment into the history.

Maintenance Task Status:
Open - The maintenance task still needs to be done.
Closed - The maintenance task has been completed.

Resolution:

Fixed - The item in the maintenance task has been fixed.
Not Fixed - The item in the maintenance task has not been fixed.
Replaced - The item in the maintenance task has been replaced with a new item.
